Program Manager for the Learning Assistant Program

Position Summary:     

This position reports directly to the Director of the Learning Assistant Program and exists to assist with recruitment of participants, program management, development, and the administrative duties of the Learning Assistant (LA) Program. This includes supporting the LA program’s goal of increasing student retention in STEM coursework; assisting the Director in a strategic plan for the LA Program’s sustainability and growth; centralizing communication among program’s students, faculty, program director, and other shareholders; tracking, updating, and maintaining student records; coordinating student support functions; maintaining a student database; managing and budgeting funding for the LA program that includes financial records for accuracy and balance; providing support during grant proposal preparation; and handling financial records in post-award administration of external funding.

Duties/Responsibilities:          

  • (30%) Management & Data Maintenance:
    • Assists in the recruitment of participants;
    • Develops and maintains a filing system and electronic tracking for the program that can be used for progress reports, grant writing, grant renewal, and evaluation purposes;
    • Updates records of all participants in the program, including feedback on faculty course proposals, student applications, LA placements and continues to track former students.
    • Assists the Director on sustainable and strategic planning for the program;
    • Provides technical assistance in LA Campus.
  • (20%) Communications:
    • Independently screens and responds to all incoming communication in a manner that appropriately represents the University and the program;
    • Informs participants about upcoming hiring and events and about standard procedures via memos, phone calls, bulletin board postings, website updates, LA newsletters and social media while maintaining a sensitivity to the needs of the program’s diverse population;
    • Regularly attends LA Alliance meetings and collaborates to develop and share new resources;
    • Keeps information confidential as needed;
    • Employs strong interpersonal skills to advise students when necessary.
  • (10%) Scheduling and Coordinating:
    • Manages LA program’s calendar, schedules, and events;
    • Assists the Director, when needed, on other student-related or operational duties.
  • (15%) Supervisor:
    • Supervise student employees;
    • Submits, maintains, and approves student employment documents in compliance with Human Resources processes;
    • Assists in evaluating semester and annual surveys and evaluations in coordination with LAs and instructors.
  • (15%) Financial responsibilities:
    • Tracks expenditures and assists in budgetary decisions;
    • Serves as reallocator for Corporate Card expenditures;
    • Orders supplies.
  • (10%) Training:
    • Trains and onboards-new instructors and LAs into the program and the required LA pedagogy class;
    • Organizes LA Orientations and university presentations promoting diversity, equity, and inclusion;

Required Qualifications          

  • Bachelor’s degree or combination of education and experience.
  • Experience with balancing budgets that includes using spreadsheet software (e.g., Excel, Google Sheets, QuickBooks, etc.);
  • Operating human resource management software (i.e., Workday);
  • Experience with word processing programs/applications (i.e., Google Doc, Microsoft Word, etc.);
  • Experience supervising students or other employees, including oversight of work hours and conflict resolution.

Preferred Qualifications         

  • At least two (2) years of general administrative service experience;
  • Experience with managing, facilitating, and implementing, event planning;
  • Experience with creating marketing materials via programs and applications (e.g., Canva, PowerPoint, Adobe, etc.);
  • Critical Thinking and Decision Making: Ability to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems using logic and reasoning;
  • Customer Service: Knowledge of principles and processes for providing quality customer and personal services including customer needs assessment, assisting co-workers, and meeting quality standards for services, and evaluation of customer satisfaction;
  • Communication: Fluent in oral and written English – experience with structure and content of English language including the meaning and spelling of words, rules of composition, and grammar. Respond to written communications in a timely, professional and efficient manner;
  • Technology and Computers: Experience with software; hardware; data systems; website development; email; and other workplace technology and electronic devices.

Salary for Announcement:

Under Colorado law, MSU Denver is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account a variety of factors including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The salary range that the University reasonably expects to pay for this position is $49,900 – $62,400. The full salary range is $49,900 – $74,900.

This position is paid monthly and is eligible for MSU Denver benefits.

Work Hours:

Monday – Friday, 8am – 5pm, hybrid options available, possibility of remote work up to 3 days per week.
