Job Description

The Program Manager manages program expectations, risk, operations, change, and executive administrative assistance for the Chair and senior management team of the Walton Sustainability Solutions Service within the College of Global Futures. Under the administrative direction of the Walton Chair, this position performs work of strategically coordinating and executing on behalf of the Sustainability Solutions Service senior leadership. The Program Manager will participate in most or all major meetings, will aggregate decisions to keep things efficient, and will own the execution of major research, communication, and analysis type tasks that inform decision making by the leadership. This position will serve as the primary liaison between senior leadership and both clients and department staff. The Program Manager will have responsibility for organizing and leveling up the effectiveness of the Chair’s and the Walton team’s performance.

This position will independently ensure the goals and objectives of the Service and programs are accomplished with excellence in accordance with priorities, time constraints, funding limitations, or other specifications. The Program Manager will approach this dynamic position with initiative, anticipation, and problem-solving skills to apply to a fast-paced work environment. An ideal candidate will also have an interest and some familiarity with sustainability, as well as some experience working with the media, ultra-high net worth individuals, donors, and other VIPs.

Working Environment

  • Activities are performed in an office setting.
  • Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone, and associated computer/technology peripherals.
  • Field site visits and international travel may be required.

Minimum Qualifications

Bachelor’s degree in a related field AND five years administrative/coordination experience; OR, Master’s degree in field appropriate to area of assignment AND three years administrative/coordination experience; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience specific to higher education a plus.
  • Bilingual: English/ and fluency in Arabic, Chinese, French, Navajo or Spanish, a plus.
  • Experience in sustainability, environment, and development matters a plus.
  • Experience in principles of program management and general business.
  • Experience with a variety of technology and technological platforms with the ability to continuously learn new tech skills.
  • Event management experience.
  • Experience in budget planning, preparation, management, forecasting, and reporting.
  • Experience in building relationships quickly.
  • Experience in navigating ambiguous situations, making decisions, and influencing others.
  • Experience in displaying a high degree of tact, patience, and diplomacy, particularly under pressure while focusing on solutions.
  • Ability to stimulate changes in individual, institutional, and corporate behaviors
  • Experience in Workday, ASU finance & accounting procedures, and/or the ability to take on new knowledge in these areas.
  • Demonstrated knowledge of any of the following engagement platforms: Aventri, Zoom, Microsoft Teams, Slack.
  • Demonstrated knowledge of Microsoft Office Suite, Dropbox, and Google Drive.
  • Demonstrated knowledge of current ASU travel procedures and Concur.
  • Experience with ASU/Knowledge Enterprise hiring practices, Peoplesoft, and EDGE conversations.
  • Evidence of effective and professional e-mail and phone communication.
  • Capacity to work efficiently across multiple programs and projects.
  • Experience in effectively managing, supervising and evaluating assigned staff.
  • Experience in establishing and maintaining effective working relationships and establishing and facilitating work teams.

Essential Duties

  • Provide daily management of the Walton Chair’s calendar, communications, commitments.
  • Interface with students, staff, faculty, mid- to senior-level university leadership and C-suite executives, external collaborators (e.g., media, donors, foundations and other VIPs) in facilitating program objectives.
  • Utilize technology platforms for meetings, webinars, document sharing and communication.
  • Provides direction and leadership to program delivery team and clients in meeting project deliverables through managing time frames, budgets, risk, and available resources.
  • Serves as primary communication point for internal and external constituents regarding status of projects and resource requirements as appropriate.
  • Regularly informs senior leadership of program and budget status proactively pointing out any potential challenges or risks.
  • Engages contacts as necessary in absence of senior leadership.
  • Participate in the preparation of financial and administrative reports.
  • Assists with coordination and processing of personnel searches and hiring, faculty promotion, and tenure processes within the department, and maintains personnel files consistent with University policies and practices.
  • Strategically develops and facilitates events, workshops, meetings or conferences; coordinates logistics, scheduling and participant communications; development of brochures or other unique projects.
  • Provides leadership and training to the immediate direct reports (if any assigned).
  • Resolves day-to-day issues.
  • Perform other duties as assigned.
