Responsibilities

General Purpose:

Serves as enterprise-wide expert instructional design resource and lead member to the eRecord Project and eRecord user community.  Supports training program and its Director in all instructional design areas.  Recommends, plans, designs, executes and evaluates instructional design based on assigned clinical, revenue and/or access application(s), data and technology systems.  Manages multiple instructional design projects in pre-live, go-live and post-live phases of the application implementation.  Works with technical staff and managers to identify requirements, facilitate and implement changes in instructional design, training environments and Super User program of the eRecord training program, implementing LEAN operational training design improvements.  Provides in-depth analysis of the requirements and develops functional specifications to solve the enterprise users’ needs.  Proposes, documents and manages process and instructional design training plans.

Responsibilities:

  • Performs workflow analyses and documentation as necessary.  Evaluates and recommends instructional design aspects of training project, working with other team members and vendors as necessary.  Anticipates problems and formulates contingency plans or solutions as a project team member.  Monitors the operational workflow impact of instructional design solutions.  Recommends and assists with changes in operational processes related to training programs and learning management systems. 
  • Manages QA process for all instructional design.  Develops processes and procedures to manage consulting services for post-live optimization use of the eRecord solution.  Coordinates instructional design feedback/ QA tracking and follow-up.
  • Develops and manages logistics and administrative aspects of project and task management.  Updates project plan on routine basis.  Obtains customer and ISD sign-off at each appropriate milestone and approval to proceed.  Works closely with the Project Director to coordinate the activities of the training team, including assigning and monitoring project tasks, resources and priorities.  
  • Serves as the focal point of training instructional design.   Uses well-developed service, administrative and analytical skills and experience to seek solutions for improving training programs and practices.  Monitors training content and design effectiveness.  Researches any inconsistencies in outcomes, using Quality Assurance methodology such as PSDA to continually improve the instructional design’s effectiveness and its ability to remain “LEAN”.
  • Participates in the evaluation, design, facilitation, implementation and ongoing support of the training program workshops, webinars, consultation and outreach programs.  Defines, develops and documents the necessary conceptual design and detail design of subprojects, such as Workshops, In-Services and training reporting needs. Informs key stakeholders of programs before and after Go-Live.
  • Determines best method to design training environment scenarios based on Epic documentation, knowledge of the system and the intended use of the environment.  Builds and manages the training environment based on Epic best practice and the needs of URMC and its SMEs.  Ensures the environment is in good working order to allow for training and practice in the environment.  Establishes effective working relationships with technical personnel at URMC, vendors and other internal groups involved in eRecord Training Environments and related analysis, planning, and implementation.
  • Creates, coordinates and leads credentialing process for eRecord class instructors based on credentialing policy.  Maintains an in-depth knowledge of the Epic applications assigned, related acute and ambulatory workflows, and related operational processes.  Provides on-call support of training instructional design and its administration as scheduled.  Troubleshoots problems received from customer base and responds within established timeframe based on level of criticality.  Reviews, finalizes and ensures documentation is complete for procedures and systems summaries, downtime procedures for departmental operations and associated downstream systems. 
  • Defines tasks, determines scope of modifications and communicates requirements for upgrades and/or modifications to software application and interfaces which will require training.  Identifies the best fit instructional design solution based on the identified needs.
  • Organizes and conducts training workshops, webinars, videoconferences and meetings with Super Users, providers, trainers, project team and other groups.  Monitors progress and provides updates and reports to the Training and eRecord teams.
  • Coordinate marketing strategies with web services to promote the training instructional design, including use of the web Resource Library and Training Web site.  Coordinates design for upgrade and New Hire training as needed.

Qualifications:

  • Bachelor’s degree in related discipline such as Computer Science, Business, Mathematics, Statistics, Science or Engineeringr required;
  • Master’s degree preferred
  • 4-5 years of related experience required;
  • 2-3 years in a supervisory capacity preferred;
  • Experience in a health care setting preferred.
  • or equivalent combination of education and experience required.
  • Excellent written and verbal communications and follow-up skills
  • Strong attention to detail, ability to develop creative solutions to complex problems and developed critical thinking skills
  • Excellent customer service skills
  • Epic EMR required or obtained within the first year of hire.
